A leading financial company in the City of London needed solutions for two problems; the first being the requirement to verify all their billing from existing contracts to conform to Sarbanes Oxley; the second being in their Accounts Payable department where they required a specific workflow for authorisation of payments.
1. Contracts - Capgen set up a small imaging operation within their offices to identify and capture all the existing contracts. Every contract page was stamped with a unique identifier (for location of the hard copy if ever required) before being scanned via Capsure and loaded into the Find & View Management system for retrieval and validation for billing.
On completion, an in-house Capsure system was set up to capture all newly created or edited contracts directly into their Find & View Management system. Internal staff were trained to stamp, scan and index all new signed contracts and correspondence.
It is now used to show all changes and communications with their contracted clients and conforms to all Sarbannes Oxley requirements. Over one million documents have been added to the system since its inception in 2003 and is used by over 500 employees.
2. Accounts Payable - Because of the success of this project Capgen were asked to supply a system for their Accounts Payable department that would allow electronic copies of invoices to be distributed around their various departments for authorisation. Capgen designed a workflow to ensure that, where necessary, multiple authorisations could be obtained in the correct sequence, i.e. the department head was assured that all the managers agreed before signing the invoice off.
No payment can be made without complete authorisation. The company's own staff handle the capture with Find & View and reports are generated to trigger payments. All authorisations and workflows are designed to conform to Sarbanes Oxley requirements as standard and has been running since 2004. It is now being considered for extension to their European Offices to enable the UK Accounts Payable department to manage all invoice payments.
